Company verification and tax forms (W-9/W-8)

After registration, a few mandatory steps remain: complete verification and fill out the appropriate tax form.

Companies registered in the US fill out a W-9 form; companies registered outside the US (including Canada) fill out a W-8 form, typically W-8BEN-E for entities.

To start verification, choose the option that fits:

You can review the list of documents required to verify US companies on the Airwallex website.

Verification statuses

If you’ve entered all the data correctly, uploaded the documents, and our partner has confirmed them, the verification status changes to Verified. Your company then has access to every Contractor Management feature.

If verification is declined, the company’s status changes to Rejected and the company can no longer be activated. In that case, your only option is to register a new company.

Sometimes we’ll need additional information about the company. The verification status will then be Pending, and your account will show exactly which requirements and questions you need to address to complete verification.

Once company verification is successful, you’ll see a confirmation message.

Filling out the W-9 form

To comply with US tax law, we collect a W-9 form from clients based in the US.

The W-9 is a tax form that gathers information about US taxpayers – both individuals and legal entities. It lists the name, address, and Taxpayer Identification Number (TIN). Once filled out, the form needs to pass a review. You can download it on the IRS website.

Important! The tax form is valid for three years from the date you fill it out. After that, we’ll prompt you to fill out a new one.

When your previously uploaded W-9 form expires, a message will appear in your account asking you to fill out a new one.

If the form contains incorrect data, the review will stay in Pending status.

When we update the service’s Terms of Use, you’ll need to review the new version and accept it. You can also view previous versions of the document here.

Once you’ve accepted the current Terms of Use, passed verification, and uploaded a correct W-9 form, your account is ready for use and payouts.
