How to Get Paid by Invoice

A simple way to get paid without your client signing up

An invoice is a fast way to get paid, especially for work you’ve already finished. Create it in your account, send it to the client, and once it’s paid, the money lands in your Mellow balance.

How to create an invoice

Step 1. Add a client

In your account, open the Invoicing section, go to the Invoices tab, and select Create new.

In the invoice you’ve just created, pick a client from the list or add a new one with Add client.

For a new client, fill in:

  • The company’s country

  • The company’s name

  • The email address – this is where the invoice link goes

  • The client’s currency – once you’ve added the client, this can’t be changed

Step 2. Fill in the invoice

As you fill out the invoice, enter:

  • The service category

  • The work period

  • The invoice issue date

  • Who pays the fee – you or your client

  • The invoice currency – EUR or USD

  • The service description – this appears in the closing documents, along with the timeframe and type of work

  • The number of services

  • The price of the work

Step 3. Review and send the invoice

Select Preview to see the invoice the way your client will. From there, save it as a draft or send the link right away – once you send it, the status changes from Draft to Sent.

You can also just copy the invoice link and send it to your client through any channel you like.

How your client pays the invoice

For now, only businesses can pay invoices. We plan to support payments from private individuals later on.

Your client gets an email with a payment link. Opening it brings up a page with the work description and price.

When your client selects Confirm details, the system asks for the company’s information and runs an automatic check.

Company check

The first time a company pays, the system checks whether it’s already verified with us. If it’s new, we confirm its name, address, registration number, and VAT/EIN (if it has one).

The check usually takes anywhere from a few minutes to one business day. To complete it, we may ask your client for company documents.

Once a company has been verified, it can download and pay any future invoices right away.

Payment methods

Bank transfer

Your client receives a PDF invoice from Mellow. It’s issued by one of our companies in the US, Cyprus, or Hong Kong, depending on where the client is based. The money arrives within 1–3 business days of being sent.

What’s next

The moment the payment clears, you’ll get an email notification. The money goes to your Mellow balance, ready to withdraw however you like.

Frequently asked questions

How is an invoice different from an offer?

An offer works under Secure Deal and is built for prepayment: the client deposits the money before the work starts, and you’re guaranteed to receive it once you successfully finish the project. That makes it especially useful when you’re working with new clients or on long projects.

An invoice is payment for work that’s already done, and your client doesn’t need to register in Mellow. They simply pay the bill by bank transfer.

Can I invoice private individuals?

Not yet – only businesses can pay invoices for now. We plan to add support for payments from private individuals later on.

What is Mellow’s fee?

For payment by bank transfer, the fee is 5%, and it can be paid by:

  • You, the contractor – the fee then comes out of the amount you receive

  • Your client – the fee is then added on top of the invoice amount

How can my client pay the invoice?

By ordinary bank transfer, with a 5% fee.

What documents do the two sides receive?

The client receives:

  • An invoice for accounting

  • A work completion certificate, if needed

The contractor receives:

  • A work completion certificate

  • An invoice

Every document goes to the specified email.

Does my client need to register in order to pay the invoice?

No. Instead of signing up, your client just completes a quick check for the first payment by providing:

  • The company name

  • The address

  • The registration number

  • VAT/EIN – for companies in the EU and the US
