How to view, pay, and download invoices

The Invoices section of your account holds two types of invoices.

Invoices from contractors

The Contractors tab shows contractor invoices in various statuses. For each invoice, you’ll see the contractor name, the invoice amount, the invoice and contract numbers, the creation date, and the payment date.

Invoices are generated automatically based on the payment schedule set in the planner. The planner creates invoices for the contractor on the dates you selected when signing the contract.

A single contract can have several planner tasks – there’s no limit on the number. Tasks can be created and deleted, but not edited. Invoices can’t be created manually.

Invoice statuses

  • Ready to pay – invoices have been generated and are awaiting payment.

  • Pay today – the payment due date is today.

  • Overdue – the payment due date has passed.

  • Failed – something went wrong during payment.

Select the three vertical dots in an invoice row to open the available actions:

  • Proceed to payment – open the payment screen for this invoice.

  • Cancel payment – cancel a pending payment.

  • View invoice – open the invoice for viewing.

  • Download – download the invoice as a file.

This section has a filter by invoice status and lets you pay several selected invoices at once. Payment is processed manually – there’s no automatic payment. All financial operations run through the Airwallex integration.

Important: for an invoice payment to go through, the contractor must have at least one payment method added to receive funds.

Bulk payment

  1. Tick the checkboxes next to the invoices in the list, as shown in the screenshot above.

  2. Select Proceed to payment in the action panel above the table.

  3. Review the details on the Payment screen: invoices are grouped by currency, and the available balance is shown for each.

  4. If a balance is too low, select Go to wallet to top up the wallet, or Remove conflict payments to exclude the conflicting invoices.

  5. Review the Payment summary: number of payments, subscription fee, and transfer fee.

  6. Select Confirm & pay to process the payment.

Once the payment is confirmed, a window will appear letting you know that payments are being processed.

The money reaches the contractor right away, in the account they entered when signing the agreement.

If one of your balances doesn’t have enough funds, a message will appear asking you to top up the balance in the current currency – in that case, conversion will happen on the recipient bank’s side.

Invoices from Mellow

The From Mellow tab shows the invoices that Mellow issues to your company. These are subscription fees (Subscription) and transfer fees (Transfer fee, Conversion fee).

The table shows the type of charge, invoice number, contract number, dates, status, and amount.

You can also search for invoices here using the filters you need.

To download an invoice, open the menu (⋮) in the invoice row and choose Download. You can also select View invoice to open the document first.
